Each of the tabs online in the Web Terminal can be controlled by a corresponding tab in the Web Terminal pane of the administrator program. This section will take you through each of the settings available to you in the administrator program view of each of the tabs. You can log in online to explore the tabs of the Web Terminal and learn more about your volunteers’ interface with VSP. The following will discuss how you manage these tabs within the software.

Saves the styling, options, and settings of the Web Terminal to a local settings file on your computer.

Saves the styling, options, and settings of this tab to a local settings file on your computer.

Load content of this tab from file…
Loads settings for this tab from a locally stored settings file.

Reset the content of this tab to its default…
Resets this tab to the default settings.

Reset all Web Terminal Settings to default…
Resets all tabs and settings to default settings.

Login as…
As the administrator of VSP, you can log in as any of your volunteers to view the Web Terminal from their perspective. Select the volunteer you wish to log in as, and click “Login Now.” You will be brought to the login page for your organization’s Web Terminal, where the volunteer’s username and password have been pre-populated for your convenience. You can also select a volunteer’s name in the list to see and change their username and password on the bottom of the window, by clicking the small arrow to the right of their username or password.

Preview…
Preview the tab you are viewing as any volunteer by clicking on his or her name. Any tokens included on this tab will be personalized for that individual, so you can confirm that everything is behaving as expected.

Commit Changes
Click this button to save any changes to settings, styling, and options made to the Web Terminal.

Home tab

The Home tab of the Web Terminal is where volunteers first land when logging in to the Web Terminal. It can be personalized with information and announcements for your organization.

(Note: If you are using VSP in event mode, some of these settings may be slightly different.)

Terminal URL
The Terminal URL is the unique web address for your organization’s Web Terminal. This is the link volunteers will use to log in and access the schedules online. You can copy the link to the URL by clicking the “Copy…” button to the right, and add it to your organization’s web site to make it easy for your volunteers to access.

Web Terminal Settings
Control the settings for web forms, automatic email and text message reminders, swap requests, enrollment forms, shift leaders, and more. For a full explanation of all the settings available, visit Web Terminal Settings.

“Don’t show this tab for now”
Checking this box hides the Home tab so that volunteers do not see this tab when logged in to the Web Terminal.

Text Field
The text in this text field reflects what will be displayed on the tab online. You can customize this text as much as you choose. The Font, Style, Size, and Color menus can be used to edit the look and feel of this text. Simply highlight text and choose from a styling menu to customize. To add a hyperlink, highlight the words you wish to turn into a link, go to Style, and choose “Link.”

My Schedule tab

The My Schedule tab is where volunteers see their list of scheduled shifts, and can request a sub or cancel their shift (if you allow them to do so). The {{ScheduledShifts}} token is what displays each volunteer’s list of scheduled shifts. By default, this tab also includes the {{SwapRequestedPositions}} token, which displays a list of pending sub requests in order to encourage volunteers to pick up those requests. As with all tabs, the content and styling is fully customizable.

Web Terminal Settings

Full Schedules tab

The Full Schedules tab displays the Live Schedule Posts that you have published. This is where volunteers can see who is scheduled at each shift, and can look for additional openings to sign up for more shifts. The top half of the screen shows your Live Schedule Posts, which are exported views of your live schedule, and has buttons to control these posts.

Live Schedule Posts are not the schedule itself. Rather, they are an exported view of the schedule that you see as an admin in the Schedules pane. You can create multiple Live Schedule Posts for any one live schedule. For example, some organizations prefer to create a separate Live Schedule Posts for certain jobs, so that they can keep that post hidden to people who aren’t qualified for those jobs. You could also create a separate post if you have a one-time event that you’d like to keep separate from your regularly recurring volunteer shifts.

The lower half of the screen contains a text box with the text volunteers will see when they visit the tab online. The {{LiveSchedulePostList}} is included by default, and it will display a list of links to each of the live schedule posts in the box above. As with all tabs, you can add to and customize the styling and content volunteers see when visiting this tab.

Checking this box hides the Full Schedules tab so that volunteers do not see this tab when logged in to the Web Terminal.

New…
Click this button when you have a schedule open to create a new Live Schedule Post. You will be prompted to choose the layout, included jobs, included shifts, and more in the Online Layout and Options box that appears. As mentioned previously, you can create as many live schedule posts as you’d like, and can include subsets of jobs, shifts, date ranges, or volunteers as necessary.

View
Click View to view the Live Schedule Post you have highlighted. When you click View, a new dialog opens with the options to “Copy link to last,” “Copy,” or “OK.” “Copy link to last” copies a unique URL to your clipboard that will always point to the last Live Schedule Post in the list. This is helpful if you always want to display the most recent schedule on your organization’s website. “Copy” will copy a link to the selected post, and “OK” will just take you to view the post in an internet browser.

Settings…
Click on a Live Schedule Post and click Settings to adjust or view the settings for that post. You can use Settings to change which jobs, shifts, or time frame is included in the selected post.

Rename…
Click to rename the selected post.

Delete…
Click to delete the selected post. You can also select multiple posts to delete by holding down Ctrl/⌘ or Shift on your keyboard while selecting. Remember, this is only deleting that particular Live Schedule Post, not the schedule itself.

Rosters tab

The Rosters tab of the Web Terminal is where you can create Live Roster Posts (lists of volunteers and information about them) to share with other volunteers. This is helpful if you are using VSP at an organization where volunteers may want or need to contact one another. If you are scheduling for a large event or an organization where privacy of volunteer names and information is important, you may wish to simply hide this tab. The top half of this screen shows you a list of the rosters you have posted on the Web Terminal, and the lower half of the screen is a text box that you can edit as necessary. The text box includes the {{LiveRosterPostList}} token, which is what displays the list of rosters online.

New…
Click to create a new Live Roster Post to post to the Web Terminal.

View
Click to view the selected Live Roster Post in a browser window.

My Profile tab

The My Profile tab is where volunteers can update their personal and scheduling information. Inside the program, as the administrator, there isn’t much to look at on this tab, but volunteers will see different sections and can update information as needed (we recommend logging in as a volunteer to see this for yourself). The information collected on the My Profile tab can be configured in the Profile Changes section of the Web Terminal Settings. We recommend reviewing which fields are included on the My Profile tab field by default, and adding and removing fields as needed per your organization’s needs.

By default, the My Profile tab includes a message at the top to remind volunteers of the need to click the “Submit” button to confirm their profile changes. You can edit and customize this text to suit your organization’s needs, as with all tabs of the Web Terminal.
