To begin creating a shift plan for a shift as a VSP administrator, open your live schedule from the Schedules pane inside of VSP. From the open schedule, click on a date and then the shift you would like to begin editing the plan for. Click on the Schedule menu and then select “Edit Shift Plan…” from the drop-down menu. This will open a new dialog with the edit shift plan screen for that shift.
You can upload resources using the “Add another resource” button. You can upload:
- Songs (mp3 files, chord sheets, lyrics, etc).
- Rosters (PDF, Word, or other document types)
- Power Point presentations
- Any other document or resource your volunteers will need
You can also add a link to a webpage as a resource.
When uploading files or adding links, you can optionally choose to attach a particular resource or link to all related shifts that week, all other shifts at the same day and time, or every single shift, as well as specify that only particular volunteers should see a resource.
By clicking the “Add another note” button you can add notes that your volunteers will see when they view the shift plan. You can optionally set the visibility of the note to all related shifts that week, all other shifts at the same day and time, or every single shift, as well as specify that only particular volunteers should see a resource. This can be especially handy for letting volunteers know about any special requirements or information related to the shift. For example, a theatre company using VSP can post a note just for Ushers letting them know that a particular door will be closed for the duration of that weekend’s shows.
