VSP comes with helpful templates designed for emails that most schedulers will want to send through the program. When using a template, you can add or change the text as needed by simply selecting the desired email and making the desired changes.

The available preconfigured templates are:

  • Introductory email – request for updates
    Use this template to email volunteers before you run your first schedule. It will include their login information, a short video and guide on how to use the Web Terminal, information about the mobile app, and a request to submit changes to their profile before the date of your choosing.
  • Introductory email – schedule finalized
    Use this template to email volunteers after running your first schedule to introduce them to the program and let them know their scheduled dates. It will include their login information, a short video and guide on how to use the Web Terminal, information about the mobile app, and a list of their scheduled shifts.
  • Introductory email – for leaders
    Use this template to send Shift Leaders their login information, as well as a video tutorial specifically designed to teach them how to access their leader privileges.
  • Mobile app available
    Use this to email your volunteers about setting up the VSP app, including the Organization ID, which they will need to log in.
  • Referral Program
    Use this email to let your volunteers know about the referral program and help spread the benefits of VSP (while also earning you a discount on your next renewal).
  • Request for updates to availability
    Use this email to request updates from volunteers, once they are familiar with the program, so you can run your next schedule.
  • Request for updates to availability (reminder)
    Use this template to remind volunteers a day or two before their updates are due, so you can run the new schedule.
  • Schedule finalized
    Use this template to tell volunteers that the new schedule is complete and provide a list of their scheduled positions.
  • Send login information to those that don’t have it
    Use this to send login information to volunteers who have never been sent this information before. This template includes a filter in the “Send To” area so that only volunteers who have never been sent their login information will be sent this email.
  • Lost login information
    Use this to tell volunteers how they can reset their password if they have lost/forgotten it.
  • Last week no shows
    Use this to let volunteers know that they missed a scheduled shift in the last week and ask them to please remember to notify someone if they are not going to be in attendance. This filter includes a filter in the “Send To” area to only go to volunteers who have No Shows in the last week.
