Attendance reports will display a volunteer’s attendance statistics, as explained below. To access the view below, go the Reports menu within an open filled schedule in the program.

No Shows

The No Show report shows how many times a volunteer was marked as “Did not show” in the schedule.

To mark a volunteer as “Did not show” in the schedule, select the volunteer in the position where they did not show and right-click to select “Flag as did not show up”.

All of the other settings and options are the same as the Hours Scheduled report.

Swaps Requested

The Swaps Requested report shows how many times a volunteer requested a substitute in the schedule.

To mark a volunteer as “Swap requested” in the schedule, select the volunteer in the position where the requested a sub and right-click to select “Flag as swap requested”.

All of the other settings and options are the same as the Hours Scheduled report.

Swaps Made

The Swaps Made report will indicate the number of times a volunteer requested a sub and it was filled.

All of the settings and options are the same as the Hours Scheduled report, with these two additions:

View net swaps (swaps made minus extra services)
Choosing this option will limit the list of volunteers to those who requested a sub in one position, and also filled a swap in another. A positive total will tell you that they requested more swaps than they filled.

Show volunteers with more extras than swaps made (negatives)
Checking this option will then also show volunteers who have a negative value. A negative total will tell you that they filled more sub positions than they requested.

Extras

Volunteers who fill a swap request are marked as “Extra”. Use this report to see who your extra helpful volunteers are and thank them accordingly.

Volunteers can be manually marked as “Extra” in the schedule by selecting the volunteer in the position where they served as an “Extra” and right-click to select “Flag as Extra.”

All of the other settings and options are the same as the Hours Scheduled report.
