What can the VSP app do?

The VSP app was built to help your volunteers easily access their schedule, request subs, and update their profiles from anywhere!

App Features

My Schedule

Volunteers can check their scheduled services from the My Schedule tab. When clicking on a specific position, they will be able to see other information about this shift including:

  • The date and time they are scheduled
  • The job for which they are scheduled
  • A list of all other volunteers serving at that shift
  • Notes from the administrator or Shift Leader, if there are any notes for that shift
  • Comments from other volunteers, the administrator, or Shift Leader
  • A “Request Sub” or “Cancel” button, for if the volunteer can no longer serve at that position (if either of these functions are turned on)

Full Schedule

This will show a list of all shifts on all live schedules. When clicking on a particular shift, volunteers will be able to see:

  • The date and time of the shift
  • A list of All Volunteers scheduled at this shift
  • Notes from the administrator or Shift Leader, if there are any notes for that shift
  • Comments from other volunteers, the administrator, or Shift Leader

It should be noted that Shift Leaders cannot edit the schedule from the app. This must be done by logging in to the Web Terminal in a browser and using the Admin tab.

Open Positions

Volunteers can also see the Open Positions for which they are qualified to serve. Positions in orange indicate a sub request, whereas positions in black denote an unfilled position. When clicking on a specific opening, they will be able to see:

  • The date and time of the open position
  • The job of the open position
  • The name of the person requesting a sub (sub requested positions only)
  • A list of all other volunteers serving at that shift
  • Notes from the administrator or Shift Leader, if there are any notes for that shift
  • Comments from other volunteers, the administrator, or Shift Leader
  • A “Volunteer Now” button, for if the volunteer wishes to fill this position

My Profile

Volunteers can also update their profile from the My Profile tab. The contents of this tab mirror the options found in the Web Terminal’s My Profile tab.

Settings

Volunteers can also control their push notifications and easily switch to the profiles of other family members through theLet us know if you have any other questions,
h2. Sending the app to your volunteers

The VSP app is available for both in the App Store for Apple devices, and the Google Play Store for Android devices. The app is completely free to use for your volunteers.

When you launch the VSP app for the first time, it will ask you and the volunteers for your Organization ID. This is the same as the Organization Web Terminal Identifier you set up when you first installed VSP. You can see what this is by clicking on the Subscription pane inside of VSP and you will see the Web Terminal Identifier listed here.

For your convenience there is now a token in VSP to share this with your volunteers (and that token is included in the email template that lets the volunteers know a new app is available). You can use this token on the Web Terminal or in other emails you send to help communicate that ID. Click on the Token menu in the Emailer or on the Web Terminal, drop-down to the Web Terminal section, and select the “OrganizationWebIdentifier” token.

To easily let your volunteers know about the VSP app, use the “Mobile App Available” and many of the other preconfigured templates found in the Settings tab of the Emailer. This will include all of the information they need to download and log in to the app, including their username, password, and your Organization ID.

Changes made by volunteers through the app come in to VSP as web forms, just like changes made by volunteers through the Web Terminal. By going to the Web Forms pane inside VSP, you can review these changes and approve them if needed.

Customizing the app

My Schedule tab

The My Schedule section of the app is controlled by the {{ScheduledShifts}} token inside VSP. To edit which services appear in this tab:

2. Click on the My Schedule tab
3. Click on the “Token Options…” button
4. In the Token Options box, click on “Scheduled Shifts” in the list on the left (if this is not visible, uncheck the box in the bottom right corner that reads “Show only tokens that are included in the content of this tab”)
5. Here, you can:

  • Choose the time frame for which positions appear (today forward, only the next # of weeks, or in a specific date range)
  • Choose which jobs appear
  • Choose which shifts appear

Be sure to click OK and Commit Changes when you are ready to save your changes.

Note: This will also change the positions listed in the My Schedule tab of the Web Terminal.

Full Schedule and Open Positions tabs

2. Click on the Full Schedules tab
3. Click on the “Token Options…” button
4. In the Token Options box, click on “All Available Positions” in the list on the left (if this is not visible, uncheck the box in that bottom right corner that reads “Show only tokens that are included in the content of this tab”)
5. Here, you can:

  • Choose the time frame for which positions appear (today forward, only the next # of weeks, or in a specific date range)
  • Choose which jobs appear
  • Choose which shifts appear
  • Only include positions in shifts at which this volunteer can serve (based on their shift preferences)

Be sure to click OK and Commit Changes when you are ready to save your changes.

Note: If you use the {{AllAvailablePositions}} token in the Web Terminal, this will also change the listed positions in the Web Terminal.

My Profile

The options in the My Profile tab of the app are the same options as the My Profile tab found on the Web Terminal, so changing them will effect both the app and the Web Terminal. The contents of this tab can be changed using the Web Terminal Settings Profile Changes section.
