Congratulate your Grads!

Every spring, organizations have to say goodbye to their graduating student volunteers as they move on to the next exciting stage in life. But don’t let these vibrant and enthusiastic volunteers slip away unnoticed. Acknowledge and say thanks for all their hard work with these tips!

  • Send a personalized email to all the graduating seniors, congratulating them and thanking them for their dedicated service over the years

Track your volunteers’ grade level in your volunteer scheduling software, so that you can easily filter an email to the graduating seniors (check out this tip for a helpful hint)

  • Give out awards like “Most Hours Scheduled” or “Most Sub Positions Filled” to honor those volunteers who went above and beyond

Keep track of when volunteers show up (and don’t) for shifts, and when they fill in extra spots for fellow volunteers last minute (here’s a hint on how to track this information)

  • Keep them engaged by sharing organization news, updates, and announcements via social media

Inspire old volunteers and attract new ones by sending periodic updates. Remember to get graduating volunteers to like you on Facebook and follow you on Twitter.

Spotlight: Mission San Luis Obispo

It’s easy to get lost in the rich history of California’s Spanish missions. Mission San Luis Obispo de Tolosa, located on the central coast of the state, is no exception. Founded by Father Junipero Serra in 1771, the mission is situated in what the Spanish explorers called “La Cañada de los Osos,” or “the Valley of the Bears,” so named for the number of grizzlies that populated the area. Fr. Serra sent an expedition of hunters from the north to San Luis Obispo to kill the bears for meat, and the successful expedition coupled with the very fertile soil of the valley led to his decision to found a mission there. Almost a quarter of a century later, the mission still stands as the centerpiece of Catholicism, community and culture in San Luis Obispo!

Despite the mission’s age and long history, it is certainly not stuck in the past when it comes to ministry scheduling. Celebrate St. Isidore – Patron Saint of Technology!

Did you say a prayer before logging onto your computer this morning?  Today, April 4th, is the feast day of St. Isidore of Seville, the patron saint of the internet and technology! Although there weren’t too many computers in the time of St. Isidore (the 600s), his vast encyclopedia of knowledge, known as the Etymologiae, has a “structure similar to that of a database.” Accordingly, in 1997, Pope John Paul II gave St. Isidore the distinction to help guide Catholics in their internet and computer use.

We wonder what St. Isidore would have thought about the marvels of modern technology, like creating flawless ministry schedules in a minute flat, reading scripture online, and following the Pope himself on Twitter!

Before your next Google search, say St. Isidore’s prayer:

Almighty and eternal God,
who created us in Thy image and bade us to seek after all that is good,
true and beautiful,
especially in the divine person of Thy only-begotten Son,
our Lord Jesus Christ,
grant we beseech Thee that,
through the intercession of Saint Isidore,
bishop and doctor,

Our Favorite Easter Flashmobs on YouTube

It’s always inspirational to hear how Christians around the world celebrate Easter. From attending service, to serving in your favorite ministry, to volunteering to help those less fortunate, to just spending time with family and friends, everyone has their own special way to joyfully celebrate the occasion.

One of the newer ways people have found to celebrate is by proclaiming their faith in a flashmob: a large, spontaneous gathering of people who perform a choreographed dance in a public place. Here are our favorite Easter flashmobs on YouTube:

1. Dance Your Shoes Off

This 2011 dance was performed by longtime Ministry Scheduler Pro users Second Baptist Church in Houston, TX! After the massive dance number, all the dancers’ shoes were left behind and donated to those in need.

 

2. Resurrection Sunday Dance

This flashmob from Easter, 2010 hails from Budapest, Hungary and was the inspiration behind Second Baptist Church’s dance. Even though the dancers are a world away, we think the message is universal!


 

3. Sydney Easter Parade

The crowd in this mob is a bit smaller, but they make up for it in energy and spirit! We like how they took a very popular radio hit and made its lyrics Easter Sunday worthy. It’s a praise party in the house tonight!

Top 3 Reasons Scheduling Challenges Go Unaddressed

Every church is unique, but one thing all churches have in common is that scheduling volunteers is a challenge. Sometimes, inefficient volunteer scheduling can cause headaches for months or even years before someone realizes – it’s been a long time coming, but a change is gonna come!


 

After working with thousands of churches to help streamline ministry scheduling, we’ve picked up on a few reasons scheduling challenges continue to go unaddressed. Here are the top three reasons churches don’t address their scheduling challenges, and tips on how to conquer them:

1. People don’t think there’s a problem

When a scheduler has been doing things their way for years and years, they get used to the status quo. “Why change anything when I’ve been doing it this way since the dawn of time?” they think. “Sure, it takes me 15 hours a month, and half of our volunteers forget to show up when they’re scheduled, but it’s working just fine!”

Emphasize the concrete benefits of efficient scheduling to get these people on board!

2. The Pastor or Business Manager doesn’t think it’s worth the money

For the more financially-minded in a church’s community, cost is always the bottom line of any new project. If they aren’t directly involved in scheduling, it can be harder to convince these people that something’s got to give.

Put your Pastor or Business Manager in touch with a church in your area that uses the tool you are interested in so they can hear first-hand feedback that the investment will be worthwhile!

3. Schedulers don’t feel comfortable with technology

If one or more of the schedulers at your church doesn’t feel comfortable using computers, there can be a lot of resistance to switching to a software program that facilitates scheduling.

It’s important to find a user-friendly, simple, yet powerful tool, and a company that offers lots of support and guidance during the learning period!
